Guidelines for Presentations

Oral presentations

 

If you plan on using your personal computer for a presentation, it's important to prepare everything beforehand to ensure a seamless switch between presenters. To connect your computer to the monitor, you'll need an HDMI port on your computer. If your computer doesn't have an HDMI port, be sure to bring an HDMI connector.

 

If you only bring a USB, please ensure that you have prepared file formats such as PDF and PPT. This is because some fonts used in the PPT may not be supported, and having both options available will ensure that the presentation slides can be accessed properly.

Slides (e.g. PowerPoint) should be in widescreen with an aspect ratio of 16:9. Recommended slide size is 13.333" wide and 7.5" high.

 

The font size of the text should be as large as possible, with a minimum recommended font size of 20 pt.

 

Regarding handouts, we strive to be environmentally friendly by avoiding paper use. Therefore, we kindly request that you upload your PDFs to your designated presentation thread on Padlet. The Padlet platform will become accessible one week prior to the conference, and a link to it will be provided on the conference website's programme page.

 

When giving a presentation, it is important to keep in mind that the allotted time is 20 minutes (or 50 minutes for 60-minute presentations). The chair will announce "5 minutes before the end of presentation" when there are only 5 minutes left. Once the time is up, the chair will announce "End of presentation". At this point, it is expected that you will immediately wrap up your presentation by presenting your conclusions. If you are unable to finish in time, the chair will stop your presentation at the 25-minute mark and move on to the Q&A time. Your entire presentation is expected to be completed within 27 minutes, leaving 3 minutes for the next presenter to set up.

 

For panel presentations, there is no designated chair. The group presenting should take charge of the session from beginning to end. It is recommended to allocate a minimum of 15 minutes for the Q&A time.

 

There will be a room assistant available on each floor (not in each room). If you encounter any issues, seek assistance from the available assistant on the respective floor.

 

If you are scheduled to deliver an online presentation as part of a panel session, kindly ensure that you have your own Zoom link arranged. The PC in the presentation room has Zoom software installed, allowing you to access the link you've prepared.

 

For the online presentations scheduled on the 3rd day of the programme, the conference organiser will provide you with a Zoom link.

 

It is recommended to use the same language in your presentation as that of your abstract unless you have permission from the conference organiser. It is also acceptable to deliver bilingual presentations in both English and Japanese.

 

The conference organiser will not be liable for any promotion or sale of books or teaching and learning materials by individual presenters. Engaging in such activities will be solely your own responsibility.

 

Poster presentations

 

Each presenter is allocated a monitor screen (55"), which must be connected to their own laptop or digital device using an HDMI cable. Thus, please ensure that your laptop has an HDMI port. Alternatively, bring an external HDMI adaptor.

 

Use a widescreen PPT slide with an aspect ratio of 16:9. Recommended slide size is 13.333" wide and 7.5" high.

 

The minimum font size should be 12 pt as smaller fonts may pose difficulty in reading.
